Terms and Conditions of Bridal Car Hire


Terms & Conditions

The following terms and conditions apply to all bookings and may only be varied by Classic Bridal Cars in writing. Bookings are accepted only on condition that the Hirer understands and accepts these terms and conditions and that payment of the booking fee signifies such full and unconditional acceptance by the Hirer.

1. Viewing, Booking and Our Service.

(a) Viewing of our cars is encouraged and is by appointment only as the vehicles are undercover and someone has to be present. They also could be out on hire and we would not like you to waste your journey.
(b) Should you wish to book one or more of our cars, a quotation will be provided. Once we have received your booking fee (by cash, bank transfer or debit card payment), we will confirm the booking in writing and send you a receipt via email. The cars concerned will then be held for you. The booking is not “confirmed” until a booking fee (£100.00 per vehicle) has been paid.
IMPORTANT! We are frequently receiving several enquiries for the same wedding dates. As some people are not immediately getting back to us, we now have no option but to take the first booking fee that is produced. To avoid disappointment, if you really want our cars, please pay the fee straight away to secure them for your special day.
(c) The booking fee is non-refundable; unless another client books the same date and cars after your cancellation (see 3a).
(d) If you change from two cars to one, the £100.00 booking fee is non-refundable unless we get a booking for the car you have canceled.
(e) Any changes or additions to journeys not discussed at the time of booking will incur extra charges. Prices for our services are quoted on information given at the time of booking. (see note (f) below if you are having tea service at church!)

(f) If you are having tea and cake at your wedding venue/church before you are transported to the reception location. You will need to pay £50 to allow for the extra waiting time and drivers wage. If you have the tea and cake without informing Classic Bridal Cars at the original booking you will be invoiced £100 to cover the cost incurred by waiting and the inconvenience caused to our staff. 

(g) Free wedding pictures. If Mark takes free pictures at your wedding he will send them on a DVD as soon as possible. This could be in 8 months time just too sheer workload. He will do his best to get them to you sooner but each image is edited from RAW to Jpeg and this takes time. We do not take your official photographs, that’s the photographer’s job. If during the wedding Mark sees that he is being taken advantage of he will stop taking photos or reduce the amount he takes. These are a free service and not a replacement to an official photographer. Mark has a list of photographers that prefer him not to take these free photos. That’s totally fine but you must be made aware that he won’t take any free photos or even bring his camera if your professional photographer is on the list. Life is to short for drama.

(h) Full contact is to be kept at all times by both parties, especially with regard to change of home address, email address and contact telephone numbers.

2. Payment Terms.

(a) As mentioned in section (1b) the booking fee to be paid for each vehicle is £100.00. This is to be paid at the time of booking (not enquiry). A vehicle is not considered to be “held” for any booking until that booking fee is received and the booking is thereby ‘confirmed’. A confirmation letter and receipt will then be sent to you via email. Ten weeks before your wedding date we will send an email link to an online booking form for the travel details to be filled in. This must be fully completed and the outstanding balance paid eight weeks before the hire date (as in 2b below).
(b) The outstanding balance is to be paid eight weeks prior to the hire date, otherwise, we will consider the booking is canceled with any fees paid forfeited and the car/s released for other bookings.
(c) For last-minute bookings (anytime within eight weeks of hire date) the full balance must be paid straight away. (See 3a below for cancellation terms.)

3. Cancellation.

(a) In the event of a cancellation, by you, of the hire at any time within a 6 month period up to the date of hire, 100% of the monies paid will be forfeited, unless another client books the same date. Outstanding hire fees will only be paid back to you, once we have received full payment from the replacement client. If it’s before the 6 months, we will refund any interim payments but NOT the booking fee as this is non-refundable.

(b) In the rare event of a cancellation by Classic Bridal Cars, all monies paid will be refunded to you. No further compensation will be made or paid and no liability will be accepted by the company for any consequential loss or disappointment.

(c) In the event of a date move by the hirer, all monies that were due to be paid for the original date will still need paying. This balance will be used to cover the hire on the new date. Also, be aware that the new date you want to move your wedding too may include extra charges as we price by date and the wedding information given at the time of the booking.

(d) If you cancel the wedding or our services 6 months or less before the original wedding date then the full outstanding balance still needs paying. You have entered into a contract with us and we have held the date for you, thus stopping us from taking any bookings for your date. The only way we can avoid you having to pay is if we get another wedding for the canceled date and the funds are equivalent to what was outstanding. We will then fully refund your balance (but not booking fee). Unfortunately, we have had to add this term as some people are moving the date, or cancelling the wedding due to not having enough funds for the wedding or other reasons. In the meantime, we have lost out on financial income and a date has been held (sometimes for 2 years!) then discarded last minute with little chance of us finding a replacement customer. Failure to pay the balance will force Classic Bridal Cars to take legal action.

4. Vehicles.

(a) Our company operates a fleet of very desirable classic cars, many of which are older vehicles and while we maintain them to the best of our ability in first-class condition, possibly a mechanical incident, accident or other problem may occur at a most inconvenient time and prevent the requested car from completing the hire. In these cases, either the best possible substitute vehicle will be provided at our cost (by preference, it will be another classic car but this may not be possible in all cases) in order to complete the hire or we will return any prepaid booking fees and/or part or full hire charges at the discretion of Classic Bridal Cars.
(b) No further compensation will be made or paid and no liability will be accepted by the company for any consequential loss or disappointment.
(c) If the interruption occurs after the commencement of the hire, we will do everything we can to get you to the required destination on time, but sometimes despite the best will in the world, the impossible is not achievable. Again, no further compensation will be made or paid and no liability will be accepted by the company for any consequential loss or disappointment.

5. Safety and Comfort.

(a) The age of the cars means that seat-belts are either not fitted or that only some are fitted. We do not have any small child restraint or baby seat facilities but will use your own child seat if compatible.  Children are advised to use safety belts if they are available.
(b) Our classic cars, highly maintained and state of the art when built typically have only modest heating facilities.
(c) The cars are groomed thoroughly prior to hiring, but no liability can be accepted for clothing stained or marked by road grime, oil or grease, however unlikely this may be, from any part of the vehicle. We do advise you be aware that running engine exhausts omit sooty black water and the rubber tyres may mark clothing too. The underside of the cars WILL be oily so long dress trains or veils need to be looked after when approaching the cars (especially in windy conditions during photos). The driver will remind you to avoid certain parts of the car like the exhaust etc.

6. Delays.

(a) We are not responsible for Acts of God, traffic delays or delays caused by our clients.
(b) No responsibility will be accepted for restrictions relating to vehicle access at any location.

7. Driving.

(a) The chauffeur will use his/her judgment to drive at reasonable speeds in relation to the prevailing road, traffic and weather conditions, and will not normally exceed 60 mph on the open road nor 30 mph in built-up areas.
(b) The vehicles in our fleet are only insured for our chauffeurs. No other person may drive the vehicles under any circumstances (unless authorised by the owner and over the age of 30 for insurance reasons).
(c) The chauffeur has the last word on route and timings undertaken, in accordance with road, traffic and weather conditions. If you request an alternate route during the journey and this subsequently leads to late arrival at your destination, we will not be held responsible. We do check the route the day before your wedding just to make sure there are no problems on the day. It might not be a route you would take but often there are reasons like for example we plan it so the car arrives outside the venue with all main passenger doors outside the venue opening on the kerb for safety and photographic/video reasons.

8. Behavior.

(a) The hirer will be held responsible for any and all damage to vehicles and/or equipment if caused by them or any of their guests.
(b) Smoking, eating and drug-taking is forbidden in the vehicles. As is stopping to go to the shops etc on route as this affects timings for the venue and photographer.
(c) Drinking in the vehicles is permitted at the sole discretion of the chauffeur.
(d) The hirer will be held responsible for the conduct of any and all passengers in the vehicle at all times.
(e) We reserve the right to immediately terminate any and all services to unruly and/or abusive passengers or anybody in our opinion who is unfit to travel.
(f) The person signing the booking form is considered to be the Hirer and accepts all responsibility as to the conduct of any passengers.
(g) It is the hirer’s responsibility to insure his or her own personal effects and those of any guests that travel in our vehicles.

Our Commitment to Privacy:

Your privacy is important to us; we adhere to the principles of The Data Protection Act 1998. We use the information you provide about yourself when placing a query or booking only to complete that query or booking. We do not share this information with outside parties. During the vehicle hire, any conversations overheard by our drivers inside the vehicles are totally confidential and never disclosed to third parties.

Your Rights:

In addition to the company’s safeguards, your personal data is protected in the UK by the Data Protection Act. This provides amongst other things that the data we hold about you should be processed lawfully and fairly. It should be accurate, relevant and not excessive. The information should, where necessary, be kept up to date and not retained for longer than is necessary. It should be kept securely to prevent unauthorised access by other people. For a modest fee, you have the right to see what is held about you and correct any inaccuracies.

Please note we operate 24 hours digital CCTV recording at our premises and your visit will be recorded to hard drive but will be overwritten after 30 days. Images and audio are being monitored for the purposes of crime prevention and public safety as specified in the 1998 CCTV Data Protection Act.
